This notice explains how M4S Solutions Ltd ("M4S", "we", "us") collects, uses and protects the personal information you provide to us. We are committed to safeguarding your privacy and to complying with UK data protection law, including the UK General Data Protection Regulation.

When you submit an enquiry through our website, we collect the information you provide, namely:

• your name and the name of your business
• your email address and, where provided, your telephone number
• a description of your business and the services you are interested in

Where you contact us by email or telephone, we retain your correspondence and a record of the call.

We also record the number of visits to our website. This is collected in aggregate, without cookies, and does not identify any individual visitor.

We use the information you provide to respond to your enquiry, to arrange a consultation and, should you wish to proceed, to prepare a quotation. We process this information because you have asked us to take these steps before entering into a contract with us.

We use aggregate visit data to understand which pages and advertisements perform well. We process this information on the basis of our legitimate interest in operating and improving our website.

We do not use your information for marketing, and we will not add you to a mailing list without your consent.

We do not sell, rent or otherwise disclose your personal information to third parties, except where we are required to do so by law.

We use a small number of trusted service providers to host our website, email and website assistant. They process information solely on our behalf and in accordance with our instructions, and may not use it for any other purpose.

Some of our service providers may store or process data outside the United Kingdom. Where this occurs, we ensure your information is protected by appropriate safeguards approved under UK data protection law.

Conversations with our website assistant are retained for 30 days and then permanently deleted. We ask that you do not share personal details through the assistant, and that you use our contact form instead.

Where an enquiry does not lead to work with us, we delete your information 12 months after our last correspondence.

Where you become a client, we retain your information for the duration of our working relationship and thereafter for as long as we are legally required to keep business records, such as six years for accounting purposes.

Our website does not use cookies. No consent is therefore required, and no cookie settings need to be managed.

You have the right to request that we:

• provide you with a copy of the personal information we hold about you
• correct any information that is inaccurate
• delete your personal information
• restrict or object to how we use it
• transfer your information to you or to another organisation in a commonly used format

If you are not satisfied with how we have handled your personal information, please contact us first so that we can resolve the matter. You also have the right to lodge a complaint with the Information Commissioner's Office (ico.org.uk).
